Your team runs the clinic, and the right permissions keep sensitive data in the right hands. This guide covers inviting staff and assigning roles.
Invite a staff member
From Team & Providers, send an invite by email. The new member sets their own password and lands directly in your clinic — no account juggling. Re-send or revoke a pending invite any time.
Assign a role
Each member gets a role that tailors what they see: an owner sees everything, a front-desk role focuses on the calendar and checkout, a provider on charts and their own schedule. See Roles and what each one can do for the full breakdown.
Providers versus logins
A provider is someone treatments are booked against; a login is someone who can sign in. Many people are both, but you can have a bookable provider who never logs in, and staff who log in but are not bookable.
Common questions
A new hire did not get the invite email — what now?
Check spam, confirm the address, and re-send from the pending invite. The link is single-use and time-limited for security.
Can I limit who sees revenue or patient data?
Yes — roles gate access to financial and clinical data, so front-desk staff do not have to see everything an owner does.
What happens when someone leaves?
Deactivate their membership; they immediately lose access while their historical activity stays intact for your records.
